JOB DESCRIPTION

 

JOB TITLE:              BUSINESS ASSISTANT (FOOD SERVICE and ACCOUNTS PAYABLE CLERK)

 

REPORTS TO:         Superintendent or His/Her Designee

 

JOB SUMMARY:     Plans, organizes, and coordinates the school food service program.

                                    Performs general accounts payable and clerical duties as assigned.

 

QUALIFICATIONS:          

 

  • At least a high school diploma or equivalent;

  • Computer experience with word processing, accounting, and databases;

  • Exceptional math skills;

  • Bookkeeping/accounting experience and/or degree in accounting;

  • Organizational skills and ability to multi-task;

  • Ability to learn new software and read technical manuals;

  • Experience using word processors, spreadsheets, and school accounting software;

  • A willingness to take appropriate training to maintain and advance skills;

  • A loyal and positive attitude; and

  • Demonstrated ability to accomplish the major duties and responsibilities listed below:

     

     

    MAJOR DUTIES AND RESPONSIBILITIES OF THE FOOD SERVICE COORDINATOR:

     

  1. Coordinate the school food service program in conformance with federal and state laws and regulations, local and state health ordinances and school district policies.

  2. Develop and recommend changes in the food service program policies and procedures to district administrators.

  3. Process applications and maintain records for the free and reduced priced meal program for qualified students.

  4. Monitor and report the food service department budget by comparing YTD revenues and expenses.

  5. Keep financial records pertaining to the food service program including purchase orders and accounts payable.

  6. Prepare or assist in the preparation of all financial records, reports, and claims for reimbursement by the State or other agencies.

  7. Collect, receipt, and deposit food service monies according to district procedure and directions of supervisor.

  8. Monitor breakfast and/or lunch line; entering meal transactions; collecting cash; and keeping a daily tally of students, parents, staff and others.

     

  9. Assume clerical duties related to the food service program including but not limited to typing, filing, distribution of correspondence, reports, memorandums, announcements, newsletters, daily lunch reports, inventory, and website updates.

  10. Attend relevant training classes and workshops when needed to maintain knowledge of new systems and regulations of food service counting systems.

  11. Participate in all promotions, theme days, etc. which are designed to improve kitchen/student relationships and increase participation.

  12. Chair the Wellness Committee.

     

     

    MAJOR DUTIES AND RESPONSIBILITIES OF BUSINESS ASSISTANT (ACCOUNTS PAYABLE CLERK):

     

  1. Supply any information or reports as requested by the superintendent or business manager.
  2. Act as the district’s accounts payable clerk, and in that capacity, perform the following specific duties:
  1. Process purchase orders, invoices, vouchers, etc.  Enter data on computer for purchased services, supplies and materials, equipment and improvement projects. 

  2. Work with all district personnel to maintain appropriate accounting procedures and records.

  3. Disburse/mail checks to vendors.

  4. Arrange for travel and complete conference registrations for staff.

  5. Cooperate with and assist the auditor in the accomplishment of any regular or special audits of the district’s financial records.

  1. Assure that all items purchased are on the inventory according to Policy 6801P.  Affix asset tags as items are delivered. 
  2. Reconcile inventory with Technology Coordinator.
  3. Attend board meetings; take minutes; word process, distribute, and maintain files of these minutes.
  4. Perform secretarial duties as assigned by the superintendent or business manager—word processing, copying, filing, composing or editing correspondence, preparing newsletters, etc.

 

RESPONSIBILITIES FOR BOTH JOB TITLES:

 

  1. Perform such school-related duties as assigned by the superintendent or business manager.
  2. Deal with students, parents, staff, and others in a positive, encouraging manner.
  3. Know and follow school district policy and chain of command.
  4. Act ethically and confidentially in all aspects of employment.

 

An employee working in this position shall at all times be subject to the direction of the person to whom said employee has primary responsibility or said person’s designee(s).  Performance of this position will be evaluated periodically by the superintendent or his/her designee in conformance with District policy and procedure.

 

All employees of the school district will at all times be subject to the rules, regulations, and policies of the District as promulgated by the Board of Directors.  Each employee will be held responsible for having knowledge of said District’s rules, regulations, and policies which have been reduced to writing and made available to the employee at the building principal’s office or the district administration office.

 

This position will be for 8 hours per day 260 days per year (beginning September 1, 2015) with training/transition prior to start date.
